What halls are available to hire?

Campbelltown Council has many Community Halls available for hire.

Can I view the hall before I book?

Keen to check out a hall before you book? Call Customer Service on 02 4645 4000 to organise a viewing. Viewings are held on weekdays, between 9.30am and 2pm for one hour. You will need to complete a credit card authorisation form as a key bond before the hall viewing. Key collection and return will be at 91 Queen Street, Campbelltown.

What are the minimum hire periods?

Hall hire

  • Monday – Thursday: minimum 2 hour hire
  • Friday – Sunday: minimum 5 hour hire
  • All day rates are also available

Meeting rooms

  • Monday – Thursday: minimum 1 hour hire
  • Friday (9am- 3pm): minimum 1 hour hire
  • Weekends: only available in conjunction with hall hire

How do I book a hall?

To book a Community Hall, you are required to use our online booking system. Refer to our user guide for further assistance. To book a hall, please follow the steps outlined below:

  1. Using our booking system, review the availability calendar to ensure hall availability
  2. Prior to booking the hall, ensure you have registered and created an account
  3. Select the hall that you would like to hire and click book
  4. Follow the prompts to complete your tentative booking
  5. Our Customer Service team will contact you to finalise your booking

Please note: This is a tentative booking and not a confirmed booking. All bookings are reviewed and confirmed bookings are contacted by Customer Service to finalise.

In order to make a hall booking you must be over 21 years of age.

When is the latest I can book a hall?

You can book with us six months in advance but we do need a minimum of 7 days to process a hall booking. This involves not only finalising payment, but also organising cleaners and keys/alarm codes for the hall you need.

How much will it cost?

Our halls are available for hire at an hourly rate, with a minimum of two hours hire Monday to Thursday and minimum five hours hire Friday to Sunday. All day rates are also available.

Upon confirmation of your booking

  • The hirer must pay 10% of the hire fees within 7 days of the confirmation of booking. This is attributed to the total cost of your booking. Failure to pay can result in automatic cancellation of the booking.
  • A bond is required for all hall bookings.

The bond will be refunded to you within 14 days after your event as long as there is no damage to the venue, and you meet the terms and conditions of our hall hire agreement. 

How do I pay?

Full payment for the hall is required at least 10 days before your function. Please remember that to confirm your booking we do require 10% of your hall hire fees to be paid.

Payments can be made by credit card, EFTPOS or BPAY through our online booking system. Payment details will be listed on your invoice once the booking has been confirmed.

Please note that we do not take payments over the phone or at the front counter for hall bookings.

Can I organise catering, a jumping castle or a food truck at the hall?

If you're planning to utilise a service or entertainment such as but not limited to Jumping Castles, Decorators or Caterers, you must notify us. The service provider will be required to submit a Certificate of Insurance for Public Liability with a minimum $20 Million coverage.  Please ensure you refer to our website to identify the halls suitable for jumping castles. At this time petting zoos, water castles and food stalls are not permitted.

What if I want to decorate the hall?

We know that a party just isn’t a party without some decorations, but to avoid permanent damage to our halls we ask that decorations are limited to the tables. Decorations are not permitted on the walls, windows or ceiling.

Note: Smoke machines and/or any other machines or equipment such as candles that may cause activation of the hall smoke alarm are not permitted to be brought to or used at the hall. If failure to do so, the hirer will be liable for the invoice and additional fees such as but not limited to Fire Brigade or electrical contractor call out fees.

If I am planning an event with alcohol what do I need to do?

When hiring a venue where alcohol will be consumed, whether a bar or BYO, Council appointed security guards are required. Security is required at commencement of the function up until the end of the hire period.

Liquor permits

Liquor permits are no longer required from Campbelltown Police or Macquarie Fields Police. Only charitable organisations are permitted to sell liquor within a Council hall. Although, a licence must be obtained from Liquor & Gaming NSW prior to your function:

Are security guards required for all bookings?

Council appointed security guards are required for bookings where alcohol is present and all 18th to 21st birthday functions, regardless if alcohol is present or not. This will be organised by us for you.

  • We require the engagement of one security guard for every 50 people attending (including children)
  • Security is required at commencement of the function up until the end of the hire period with a minimum of 5 hours.

Am I responsible for cleaning the hall?

Yes. You need to consider the time that will be required to tidy and clean the hall when choosing your hire period, as you will not be permitted to remain in the hall after the finish time specified in the agreement.

  • In all of our halls we have a mop, a bucket, and a broom but you will need to provide your own surface spray cleaner, along with sponges/paper towels to clean any of those unavoidable spills on tabletops and chairs.
  • The floor will need to be swept, spills mopped up and your garbage must be bagged and left in a neat pile inside the foyer or hall, next to the doors for our cleaners to collect. You must provide your own garbage bags to place your rubbish into.

Note: If you are hiring Greg Percival Community Hall, you will need to leave your garbage neatly and all tied up in the kitchen area and not at the front foyer.

Failure to clean the hall will result in a deduction in your bond refund.

Can I provide my own tables and chairs?

Our website lists the seating and tables available for each hall, so when booking you need to make sure that the size of the hall is right for you. The chairs and tables we provide are the limit for each hall. You cannot bring any additional furniture in with you. To avoid damage to the hall, we ask that you do not drag the chairs and tables across the floor.  Any damage to the hall will result in a deduction in your bond.

Am I allowed to go in to the facility early or stay later?

  • You must not enter the hall before your booking commencement time, and you must vacate the hall by your booking end time.
  • If you try to enter the facility earlier or stay later than your booked time, you may trigger the security alarm and a security call out fee will be deducted from your bond.
  • Any additional time that you use at the facility, will also be payable by you.

If you require additional time to set up the hall for your event you will need to include that time in your booking.

How do I change my hall booking?

You can change your booking via the online booking system or by contacting Customer Service on 02 4645 4000.

  • We require all changes at least 7 days before the date you have booked the hall for.

How do I cancel my booking?

Cancellation of a booking must be made via the online booking system or by contacting customer service on 02 4645 4000.

  • If 21 days or less notice is given, the hirer shall forfeit 10% of the hire fees.
  • If 7 or less days notice is given, the hirer shall forfeit 50% of hire fees.

Where and when do I pick up the keys?

The keys are to be collected on a weekday, between 9am and 4pm at our Customer Service centre in the Civic Centre building - view map/get directions and find out opening hours.

  • If you have a weekend booking the keys will be available on the Friday the week of your booking.
  • For weekday bookings you may collect the keys the day before your hall booking.
  • If you have booked one of our halls just for an afternoon or evening event then your key can be picked up on the same day.

How does the alarm system work?

You will be given a swipe card/keys that will unlock the venue for the times of your booking. We also provide operating instructions upon confirmation of of your booking. If you have any problems, you are able to contact the after hours service on the number that will be provided in your confirmed booking hall pack.

You must not enter the hall before your booking commencement time, and you must vacate the hall by your booking end time. If you try to enter the facility earlier or stay later than your booked time, you may trigger the security alarm and a security call out fee will be deducted from your bond.

Please note: You can also avoid paying an extra fee, by remembering to set the alarm as you leave the hall after your booking.

When do I return the keys?

You are required to return the keys the day following your booking. If you have a hall booked over the weekend, you will need to return the keys on Monday. An after hours drop off chute is also available at the Customer Service centre main door entrance. Failure to return the keys on time may result in an additional charge.

When will my bond be refunded?

Your bond will be returned to you within 14 days after the booking, subject to the hall being left in a satisfactory condition and no other additional costs have been incurred.

How do I let you know if the facility has been damaged or if maintenance is required?

Complete the online Facility Assessment Form to let us know if maintenance is required at the facility you have hired or if anything has been damaged. Please let us know if any additional cleaning is required or if you have any additional comment about the facility after your function.

How do I request Community Rates Discount?

Council offers community rates meeting the following criteria:

  • A community concession rate is that 50% discount of the full rate per hour which is only available for community based, not for profit organisations.
  • A letter in writing is required requesting the discount rate of 50% per hour

- The letter must be on your organisation's letterhead and must include your ABN, details of the event and registered charity number from the Australian Charity and Not for Profit Commision.

- The letter must be submitted along with a copy of your Certificate of Currency with a minimum of twenty million dollars Public Liability Insurance

  • Not for profit and volunteer groups must be based in Campbelltown Local Government Area
  • The account used for the booking must be registered under the organisation and not as a private hirer.

Can I make a regular booking?

Regular bookings can be arranged but there are a few things you need to know, including:

  • Regular bookings are only available on weekdays and up to 3pm on a Friday
  • 10 or more bookings need to occur in a financial year
  • Fees are invoiced on a monthly basis (with an additional one month in advance)
  • A refundable bond applies per venue, and Council holds this for the duration of the booking.
